Side by side

Folio vs. Buildium.

Buildium is well-built for firms under 250 units. Above that, the tiered pricing, locked templates, and missing portal capabilities start showing. This page lays out the costs, where Buildium wins, where Folio wins, and what migration actually looks like.

Buildium

$192 to $479+ / mo, tiered by units

Time to launch: 2 to 4 weeks (Growth plan)

Folio

$599 / mo flat. Any size.

Time to launch: 3 to 4 weeks

Where Buildium wins

We say it plainly. Buildium is the right choice if any of these matter.

  • Buildium's onboarding and customer support is among the best in the SMB property management category. If your firm is under 200 units and prefers a hand-held experience over a custom build, Buildium is genuinely good.
  • Buildium's Essential and Growth plans are priced fairly for under-150-unit firms. The math only tilts against Buildium when you grow past their pricing ceilings or need workflows their templates won't bend to.
  • Buildium has solid native accounting features. Their general ledger and trust accounting modules are mature.
  • Buildium's tenant portal and online lease applications are polished. They've been at this since 2004.
Where Folio wins

Five reasons firms switch from Buildium to Folio.

01

One flat fee through every growth tier

Buildium's Growth tier is $192-479/mo depending on unit count, with the Premium tier escalating further. A firm that grows from 200 to 600 units watches Buildium's bill climb. Folio is $599/mo whether you have 150 units or 600.

02

Built around your firm, not a Buildium template

Buildium ships templated workflows you adapt to. If your leasing process is eight stages instead of five, you simplify your process to match Buildium. Folio reflects your actual operations. The platform reshapes around you.

03

White-label on your own domain

Buildium's owner and tenant portals carry Buildium branding on Buildium's domain. Folio runs on your domain. Your owners and tenants see your firm.

04

Real agent CRM included

Buildium has no native agent CRM. Most growing firms add Follow Up Boss or kvCORE at $69-499/user/month. Folio includes lead scoring, automated routing, contract-to-close pipeline, and agent performance reporting in the base platform.

05

AI maintenance triage that reads the photo

Buildium's maintenance workflow is rules-based. Folio's AI reads tenant submissions including photos, classifies emergency vs. routine, dispatches the right vendor with quotes, and notifies the owner automatically. Median firm saves 6-10 hours per agent per week here alone.

06

Migration plan, not a help-desk thread

Buildium migrations are largely self-serve, with template imports for rent rolls and tenants. Folio assigns a dedicated migration engineer who exports your Buildium data, validates it against your numbers, re-imports it, and runs both systems in parallel for two weeks before cutover.

Migration

What it actually takes to move from Buildium to Folio.

Most Buildium migrations to Folio take 5 to 7 business days for the data export and re-import, with the full build wrapping in 3 to 4 weeks. We run both platforms side by side for two weeks so your team is never operating blind.

  1. 01

Day 1: Mutual NDA, then a 30-minute scoping call. You share Buildium read-only access. We map your current workflows, integrations, and reports.

  2. 02

Days 2 to 3: Fixed-price scope document in writing. Every feature, every integration, every migration step, exact price, exact timeline.

  3. 03

Weeks 1 to 2: Build begins. We export your full Buildium dataset — rent roll, tenants, leases, ledgers, work orders, payments. We reconcile every number against your Buildium reports.

  4. 04

Weeks 2 to 3: Folio is built around your specific workflows, branded with your identity, deployed to your domain. Integrations to Zillow, CoreLogic, Stripe, DocuSign, QuickBooks, and Twilio are wired in.

  5. 05

Weeks 3 to 4: 90-minute live training. Both platforms run in parallel for two weeks. Tenants are migrated in batches. Owner statements continue uninterrupted.

  6. 06

Week 4: Go-live. Buildium is cancelled. Dedicated Slack channel with our team stays open for the first 90 days.

Questions about switching from Buildium.

When does it actually make sense to leave Buildium?

Most firms hit Buildium's ceiling somewhere between 250 and 400 units, when (a) the tiered pricing starts exceeding what a flat platform would cost, (b) the templated workflows can't accommodate process changes, or (c) you need real agent CRM features Buildium doesn't have. If none of those apply, staying on Buildium is fine.

Will my owner reports stay consistent through the migration?

Yes. We export your full Buildium owner ledger history and reconcile it against your existing reports before importing. Your owners will get their next monthly statement from Folio with no gap or discrepancy.

How do tenants experience the switch?

Tenants get an email from your firm letting them know about the new portal. They re-set their password once (we send a magic link), and from there everything works the same — rent payments, maintenance requests, lease documents. Most tenants don't notice anything except a cleaner interface.

We use Buildium's tenant screening today. What replaces it?

Folio integrates CoreLogic for tenant screening, included in the flat monthly fee at zero per-screen cost. Screening covers credit, criminal, eviction, and income verification, equivalent to Buildium's TransUnion-backed screening.

Does Folio have a mobile app?

The web platform is fully mobile-responsive — rent payment, maintenance submission with photo, document access, leasing pipeline all work from a phone browser. We also offer a native iOS and Android mobile app as an on-demand add-on, built on a shared codebase with the web platform and published to the App Store and Google Play under your firm's name. Typical add-on quote runs $8k to $18k depending on which portals you ship. Buildium's native apps are mature out of the box; ours are built on request.

What's the actual all-in cost difference at 350 units?

Buildium Growth at 350 units is roughly $279/month base, plus $1.50 per e-sign, plus screening at $20-25 each, plus add-ons. Most 350-unit firms pay Buildium $400-600/month all-in. Folio is $599/month flat with everything included. The savings are modest at 350 units but grow significantly above 500.

What happens if we leave Folio later?

Same terms we offer Buildium customers switching to us. Full SQL and CSV export of every record. No lock-in, no exit fees. 3-month minimum, then month-to-month.
