Property management software built for the firm in between.
AppFolio and Buildium are built for the SMB landlord. Yardi and RealPage are built for the enterprise REIT. Folio is built specifically for the US property management firm running 150 to 600 units, with a flat $599/month rate and every integration included.
Why 150 units is the inflection point.
Property management software pricing and product design changes shape at the 150-unit threshold. Below it, the SMB tools fit. Above it, the SMB tools start costing more than they're worth and the enterprise tools are overbuilt. Here's what each option actually looks like at your size.
AppFolio Core's pricing math flips at 150 units
AppFolio's $1.49/unit + $298 minimum is competitive under 200 units. Above that, add-ons (screening, e-sign, resident benefits) push monthly cost over $600. Most 250-unit firms pay AppFolio $650-900/month before they realize how the bill grew.
Buildium hits its ceiling around 350 units
Buildium Growth tops out at $479/month for portfolios under 500 units. Above that, you're quoted custom rates. Locked templates, no white-label, no native agent CRM. Most firms outgrow Buildium between 250 and 400 units.
Yardi is overbuilt for the 200-unit firm
Yardi Voyager is enterprise software. Yardi Breeze is the SMB version, but implementation still takes 60-90 days and the interface feels like 2008. Most firms in your size band don't need Yardi's depth and can't justify the time-to-launch.
A stack of single-purpose tools costs more than people think
AppFolio plus Follow Up Boss plus DocuSign plus QuickBooks plus a screening tool typically runs $1,200-3,500/month. Six logins, three subscriptions you forgot you had, and no single source of truth. The 150 to 600 unit firm is where this stack starts feeling expensive.
Is Folio the right fit for your firm?
The honest checklist. If most of these describe your firm, you are exactly who we built Folio for.
Good fit
- Your portfolio is between 150 and 600 units
- You operate in the US, primarily in Texas, Arizona, North Carolina, Florida, Georgia, or California
- You have at least 4 active leasing agents or operations staff
- Your current property management bill is over $500/month
- Your owners ask you for things your current portal can't show them
- Your team copies and pastes data between AppFolio (or similar) and a CRM at least daily
- You've considered moving to Yardi but the 90-day implementation is a non-starter
Probably not a fit
- You manage fewer than 150 units (AppFolio Core's minimum fee is fine for you)
- Your portfolio is primarily commercial real estate (Yardi or RealPage is the right fit)
- HUD compliance and affordable housing is more than 30% of your portfolio (Yardi has the specialized features)
- You need vacation rentals / short-term-rental management (Guesty is the right tool)
- You're a single landlord managing your own properties (Stessa or DoorLoop is simpler and cheaper)
What a custom-built platform actually does for a 150 to 600 unit firm.

Agent CRM with lead scoring
Inbound leads from Zillow and your site are scored and routed automatically. No more $499/month Follow Up Boss subscription.
